We are seeking an Admin & HR Officer who is fluent in Arabic (reading, writing, and speaking) to manage daily administrative and HR functions. This role involves supporting various departments, assisting with employee-related processes, managing office operations, and ensuring compliance with HR policies and regulations.

Key Responsibilities:

MCI – Ministry of Commerce & Industry:

  • Issue, renew, and cancel CRs and related documents.
  • Renew Chamber of Commerce certificates.
  • Process requests for promotional offers, sales discounts, and payment bills.
  • Perform other related tasks as per new rules and regulations.

MOI – Jawazat (Muqeem):

  • Renew residence permits for expatriate employees.
  • Update passport information for expatriates.
  • Issue re-entry and exit visas for expatriates.
  • Extend expired re-entry visas for expatriates.
  • Issue entry permits for workers to enter Makkah region during the Hajj period.
  • Submit requests to print new residence permits.
  • Perform other tasks as needed.

HRSD/MOL – Ministry of Human Resources & Social Development:

  • Issue Saudization certificates for tasks such as renewals of Municipality, Civil Defense, and CR licenses.
  • Upload monthly salaries via WPS and ensure compliance.
  • Submit salary compliance objections and issue commitment certificates.
  • Review and update new regulations in Saudi Labor Law.
  • Handle employee complaints and objections regarding violations by the MOL.
  • Add and remove employees (both expatriates and Saudis) from the MOL website.
  • Renew labor permit cards for expatriates.
  • Submit requests to update licenses and CR data.
  • Edit legal defenses and prepare lawsuits for employee complaints.
  • Submit requests to change worker professions.
  • Manage sponsorship transfers for workers.
  • Perform other tasks as required.

GOSI – General Organization for Social Insurance:

  • Add or remove employees (both expatriates and Saudis) as needed.
  • Update yearly salaries, including basic pay, HRA, and allowances.
  • Link employee work locations to CR numbers for staff rotation.
  • Issue monthly contributions bills.

Medical Insurance:

  • Process yearly agreements, verify employee count, and negotiate insurance rates.
  • Add or remove employees from insurance coverage.
  • Manage insurance-related tasks, including adding newborns and ensuring coverage for residency permit renewal.

Ministry of Municipalities, Rural Affairs, and Civil Defense:

  • Issue, renew, and cancel municipality and civil defense licenses.
  • Amend details for store sizes and signage.

Saudi Customs & Fasah Platform:

  • Issue conformity certificates and electronic authorizations for customs agents.
  • Translate invoices and packing lists into Arabic.
  • Handle CITES documents and process SFDA permits.

Employee File Management:

  • Assist in interviewing and hiring Saudi staff.
  • Issue employment agreements for expatriates and Saudis.
  • Issue warning, termination, and other official letters.
  • Manage ATM salary cards and update validity dates on the SABB platform.
  • Follow up on employee status reports from MOI and MOL.

Additional Tasks:

  • Handle all formal letters in Arabic to ministries, government authorities, and other parties.
  • Coordinate with UAE staff for rental and salary-related issues.
  • Organize and maintain official documents.
  • Submit requests for POS installations and cancellations in stores.
  • Handle landline and SIM card installations and cancellations with STC and Mobily.
